Rooms and shared-space etiquette

Use meeting rooms for the duration and group size in the confirmed booking. Shared areas support people doing different kinds of work, so distinguish a short call from a planned meeting and a desk visit from a room reservation.

Phone booths

Phone booths are first come, first served, with a 45-minute limit. A booth is not a bookable meeting room. For a group conversation or a session that needs a fixed place, look at the room catalogue and complete the reservation procedure instead of assuming a booth will be available.

Room capacity

Count every attendee. Pebble, Cedar and Willow hold four, Maple and Fern hold eight, and Summit holds sixteen. These are room limits, not common-area guest allowances. A paid member's accompanied common-area guests have separate conditions during staffed hours.

Cancellation

Cancel a meeting room at least 12 hours before its start for a full fee refund or return of credits. Later cancellation and no-show consume the fee or credits. Keep the booking ID and start time available when asking about a particular reservation.

Food and leaving the room

Cold outside food is permitted in rooms; alcohol is not. Acme catering requires two business days' notice and is a separate charge. Use the group guide when food is part of an organized visit. Do not assume that a room credit covers refreshments.

Keep the next booking in mind when arranging the session. If your plan changes, use the actual account or staff route rather than relying on the demonstration controls. A calculation or a selected replacement time cannot prove that a reservation has been changed.
